Terms of Service
Effective date: August 24, 2023
The following terms and conditions, along with additional information and conditions provided on the website www.nordicroses2024.com/ all apply for “WFRS Regional Convention & Heritage Roses Conference” trips to Sweden and Norway.

The terms and conditions, along with the conditions on the website mentioned above, govern the relationship between the traveler and the organizer; The Green Guide AB (hereafter “the organizer”). The conditions outlined below complement and/or specify the general terms and conditions of the “Svenska Resebranschföreningen (SRF)” which The Green Guide AB follows. The agreement also includes specific information sent to the traveler regarding changes or additions.

To the extent that the following conditions deviate from SRF’s general terms and conditions, the conditions specified here shall apply. The Green Guide's conditions also adhere to the provisions of the “Swedish Package Travel Act” (Paketreselag 2018:1217). The right of withdrawal according to the “The Swedish Act on Distance
‍
Contracts and Off-Premises Contracts” (Lag om distansavtal och avtal utanför affärslokaler 2005:59) does not apply to agreements concerning package travel.
Registration
The main traveler is the person in whose name the agreement has been made. The main traveler's name is listed first in the travel documents or in another clear manner.
It is possible to book the trips for up to 20 travelers at the same time on each trip. If you wish to make a reservation for an even larger group, please contact us. The trips to Sweden and Norway respectively are sold separately.
The booker is responsible for providing the organizer with correct booking details for other travelers covered by the agreement. The booker is responsible for payment according to the agreement. Any changes and cancellations must be made by the booker. Exceptions can be made if the main traveler becomes seriously ill and is unable to make the changes or cancellations. Any refunds will be made to the booker.
By making the registration, the traveler accepts The Green Guide's terms and conditions, and the registration becomes binding for both parties when the organizer confirms the booker’s order in writing, unless otherwise agreed. The organizer must confirm the booker’s order without delay.
Price and payment
For bookings of the Sweden and/or Norway trips that are made at the latest on the 31st of January 2024 (extended from October 2023), a reduction in the price – an “early bird” offer – is available. Details of this offer are available until the 1st of February 2024 (extended from 1st November 2023on the website, on the page “buy tickets”.

Payments between August 25 2023 and September 7 2023
The booker must enter the details in the booking form in order to proceed to the payment step. The trip is then paid for directly using a credit or debit card via Ticket Tailor. If The Green Guide does not receive full payment within 24 hours after the completed card payment, the trip may be considered canceled and potentially sold to another traveler. In case of non-payment, the trip may be considered canceled and potentially sold to another traveler.
Payments after September 7 2023
Payment for the selected trip is made when booking on the website. The booker must enter the details in the booking form in order to proceed to the payment step. To make a payment for your booking, you can either conduct a bank transfer to our (The Green Guide AB) Swedish bank account at Handelsbanken. Our bank account information will follow in your email confirmation and on this website when you make your booing. Upon booking, you will receive an Order ID. Â You must specify your Order ID in the bank transfer to our specified bank account. Once we receive your payment, your booking will be confirmed, and a confirmation email will be sent to you. Â If The Green Guide does not receive full payment from the bank transfer within 5 days after the booking, the trip may be considered canceled and potentially sold to another traveler. In case of non-payment, the trip may be considered canceled and potentially sold to another traveler.

You can also pay directly using a credit, debit card or Pay Pal via our Pay Pal account via Ticket Tailor, you can read more about Pay Pal at their website, www.paypal.com. If The Green Guide does not receive full payment within 24 hours after the completed card payment, the trip may be considered canceled and potentially sold to another traveler. In case of non-payment, the trip may be considered canceled and potentially sold to another traveler.
Booker’s changes to the travel agreement
For each change to the travel agreement made by the booker after the booking has been confirmed, a cost will be charged in accordance with The Green Guide's additional expenses. The amount ranges from 300 to 500 SEK. If the error is due to the organizer or someone contracted by them, correction shall be made without cost to the traveler.
The traveler may transfer the agreement to someone who meets all the conditions for participating in the trip. Such a condition might include the requirement that the transportation company or another party contracted by the organizer, according to applicable regulations, accepts the change of traveler. In the case of a possible transfer of the trip, the travelers will pay the additional costs associated with the transfer to the organizer.
Passports and visas
For most travelers, passports and visas are required. The passenger is him- or herself responsible to control with their local authorities whether a passport, or both a passport and visa, are required for the trip. The passenger is also responsible for having the acquired valid documents present at the start of the trip. Depending on the traveler's citizenship, the traveler might need to independently handle the visa application and pay visa fees. Passports must always be valid for at least six months after the return date to be accepted.
Price index
If currency exchange rates, flight prices, or similar factors change significantly, The Green Guide reserves the right to increase the price of the trip after the booking and original payment has been made. In this case the travelers will be informed about the increase in price without delay. An additional payment will have to be made by the booker according to the instructions then sent out by the organizer.
If the price increase constitutes 12% or more of the total price of the trip, the traveler has the right to cancel the trip and receive a refund according to the general cancellation rules below. The traveler must inform The Green Guide of the cancellation without delay of being informed of the price increase; otherwise, the traveler will be bound by the new agreement. The Green Guide must inform the traveler about any price increases due to the aforementioned circumstances at least 20 days before the departure date. The price cannot be increased during the last 20 days before the agreed departure date.
Amendment and cancellation rules
f the trip is canceled up to 60 days before the departure date, the full price of the trip will be refunded.
If the trip is canceled between 59 and 31 days before the departure date, the cost is 50% of the total price of the trip.
If the trip is canceled later than 30 to 0 days before the departure date, the cost is 100% of the total price of the trip.‍
Flights and Other Transport
Responsibility for suddenly arising changes or delays in air, train, and bus transport that are beyond The Green Guide's control and that cause problems or inconveniences for the traveler to reach the starting point of the trip or hinder the return after the trip lies with the respective transport companies.
The Green Guide's Obligations
The Green Guide is committed to conducting the trip as described on the website. If there is an insufficient number of participants for a trip, The Green Guide may cancel the trip. An insufficient number of travelers would consist of <150 travelers concerning the Sweden-trip, and <25 travelers for the Norway trip.
Notice of a trip's cancellation due to an insufficient number of registered participants or other reasons must be given no later than 60 days before departure.
Travel itinerary, hotels, program elements, daily schedules, etc. may change up until departure, and even after the trip has started. This could be due to circumstances beyond the organizer's control or deliberate decisions by the organizer, such as a change of hotels. In all cases, the organizer aims to provide a travel program that adequately complements the original program. Such changes typically do not result in a reduction of the trip's price.
Force majeure
The organizer is not responsible for delays or difficulties caused by circumstances beyond our control, such as general labor disputes, war, fire, lightning strikes, terrorist attacks, changes in regulations by authorities, technical problems, or errors in electrical/telecom/data connections, and so on.
In cases where circumstances arise that make it impossible to conduct the trip (force majeure), The Green Guide has the right to make changes to aspects such as routes, planned visits, or accommodation to equivalent alternatives. The above circumstances also grant the organizer the right to cancel the trip less than 30 days before departure, regardless of the trip's duration. If the organizer cancels the trip due to force majeure, the traveler will be refunded.
Traveler's Obligations
The traveler must have valid identification documents. The traveler is advised to have comprehensive travel insurance, including cancellation protection. The traveler agrees to adhere to the rules and regulations stipulated by, for example, law, public authorities and The Green Guide's representatives.
Luggage Transport
The baggage transport included in certain trips is limited to the heavier part of the luggage. Valuables such as cameras, money, jewelry, etc., are not recommended to be left in the baggage transport. The traveler is responsible for transporting and storing their valuables during the trip.
Errors or Deficiencies
In case of any errors or deficiencies, the traveler should immediately notify The Green Guide's representative on-site or directly contact The Green Guide's organization so that the issue can be addressed promptly. If the traveler fails to promptly report the error, they may lose the right to potential compensation.
Submitted Photos
The Green Guide reserves the right to publish images and photographs from trips that have been submitted to us, without compensation. By submitting photographs from trips and tours to The Green Guide, this handling is thereby approved.

Travel Guarantee
The travel guarantee is a Swedish legal financial protection for travelers when a trip is canceled or interrupted. In such cases, the traveler can apply for compensation from the travel guarantee. The Green Guide has provided a travel guarantee with Kammarkollegiet (The Legal, Financial and Administrative Services Agency) to protect our travelers. The application for compensation must be submitted to Kammarkollegiet no later than three months after the trip has been canceled, interrupted, or otherwise not taken place.
